This Privacy Policy explains how Appointly collects, uses, discloses, and safeguards your information when you use our web application, Google Calendar integrations, and Artificial Intelligence (AI) WhatsApp scheduling services.

When you register for Appointly or connect third-party accounts, we collect:

• Account Information: Email address, name, password, and business details.
• Google Account Data: When you authorize Google Calendar access, we access your calendar events, calendar list, and Google account email address solely to sync appointment schedules.
• Customer & Messaging Data: Customer contact details and chat messages sent via integrated messaging channels (such as WhatsApp) to enable AI appointment booking.

3. Artificial Intelligence (AI) & Third-Party API Processing

Appointly utilizes third-party Artificial Intelligence API providers (such as OpenAI API) to process natural language chat messages, analyze customer intent, and parse appointment requests in real time.

• API Processing Scope: Customer messages and business context are securely transmitted to third-party AI API services via encrypted HTTPS endpoints solely to generate real-time booking responses.
• Data Privacy Commitment: API data submitted to our AI service providers is not used to train or improve public AI models, in accordance with enterprise API data privacy policies.

4. Google API Limited Use Disclosure

Appointly's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not sell, rent, or trade your Google Calendar data or personal data to third parties. Google User Data is used exclusively to facilitate appointment scheduling inside Appointly.

5. How We Use Your Data

• To create and manage appointments on your connected Google Calendar.
• To power automated AI receptionist responses for appointment booking.
• To send booking confirmations and calendar updates to you and your clients.

6. Data Retention & Security

We employ industry-standard encryption (AES-256 for OAuth tokens at rest and HTTPS in transit) to keep your account safe. You can disconnect your Google or WhatsApp integrations at any time from your Appointly Settings page, which immediately revokes our access.
